Location(s): Hybrid/Columbia, MD (in office one day a week)

Hours: Regular Full-Time

Salary Range: $80k/yr - $120k/yr

What you will be doing:

The Senior Proposal Coordinator/Proposal Lead will be responsible for supporting the proposal management process with a focus on coordinating proposal activities, developing content, and ensuring compliance with client requirements for federal government contracts. This individual will work closely with proposal managers, subject matter experts, and other stakeholders to ensure timely and compliant submission of proposals. The ideal candidate will be highly organized, capable of multitasking, and proficient in managing multiple proposals simultaneously.

Key Responsibilities:

  • Proposal Coordination:
    • Coordinate and support the development and preparation of proposals in response to federal government solicitations (RFPs, RFQs, etc.).
    • Manage the day-to-day logistics of the proposal process, including scheduling meetings, tracking progress, and ensuring deadlines are met.
    • Assist in developing and maintaining proposal plans and timelines.
    • Coordinate and compile inputs from various stakeholders, including technical, cost, and management teams.
  • Content Development & Editing:
    • Assist with development and editing of the proposal, focusing on quality, clarity, and compliance.
    • Work with subject matter experts (SMEs) to gather necessary content and ensure alignment with proposal requirements.
    • Assist in the preparation of templates and boilerplate content.
    • Maintain and update proposal libraries, templates, and past performance references.
  • Compliance & Quality Control:
    • Review and track proposal requirements to ensure compliance with RFP instructions and guidelines.
    • Support the preparation of compliance matrices, proposal outlines, and other essential proposal documents.
    • Perform initial compliance checks to ensure that all proposal sections follow the instructions outlined in the RFP.
    • Conduct internal reviews of proposal drafts, ensuring adherence to proposal standards.
    • Work with the Proposal Manager to incorporate feedback and revisions into the proposal.
    • Format and proofread proposal documents to ensure accuracy, consistency, and clarity.
  • Proposal Reviews:
    • Assist the Proposal Manager in organizing and conducting proposal review meetings (e.g., pink team, red team).
    • Collect feedback from reviewers and ensure revisions are implemented as needed.
  • Collaboration:
    • Support Proposal Managers and other team members in organizing proposal resources.
    • Coordinate with graphic designers, production teams, and other departments to produce final proposal documents.
    • Provide updates on the status of proposal tasks and resolve any issues that arise during the development process.
    • Assist in responding to RFP clarifications, amendments, and follow-up inquiries.
    • Support post-submission activities such as debriefs and lessons learned

Position Requirements

Minimum Requirements:

Experience:

  • Minimum of 3 years of relevant experience, preferably with a focus on business development.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Experience with SharePoint/Microsoft Teams.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and the ability to work under tight deadlines.
  • Ability to work collaboratively with teams and manage multiple stakeholders in a fast-paced environment.
  • Exceptional organizational and multitasking skills.

Education:

  • Bachelor's degree in Business, Communications, English, or a related field.

Preferred Qualifications:

  • Experience working with teams of content contributors to iteratively develop business publications.
  • Experience with Adobe Acrobat, InDesign, or other publications formatting tools.
  • Experience with using generative AI for business purposes.

Physical Demands

This is largely a sedentary role; however, some filing is required. The ability to move files, open filing cabinets, and bend or stand as necessary would be required.
